Introduction

Learning to budget your finances is one of those things where some people have no problem, yet others cannot do it for the life of them. Those of us who find budgeting easy and satisfying don’t really understand those people who can never manage their money properly.

Financial planning and budgeting are the basis of all financial success. Irrespective of whatever financial level you are operating at the principles are the same. I recently watched the Secret Millionaire program where each week a wealthy business person who has made their fortune goes undercover into a rundown area and lives amongst some of the poorest people in the country for 10. The twist is that they are only given the equivalent job seekers allowance of about £56, so they have to manage on £8 a day. Not a lot of money!

Inevitably over the week they get involved in various community and charity projects and find people that they could help financially. Well I love this program, especially at the end when the millionaire presents somebody with a cheque for an amount of money that is generally more than they have ever had in their life. I like trying to work out from their expressions if they have guessed they are a secret millionaire or not, some of them have obviously worked it out and try to put on their surprised face!

There was a couple of interesting finance related things I picked up from watching these programs though. The first was on one of the programs that featured a millionaire lady who had come from nothing into a millionaire in the period of about 30 years. She said she got started when her uncle gave her £5 when she was a teenager and she saved it. What was interesting though is that when she went undercover she still managed to save money whilst she was living off her £8 a day. She put her savings, which were only a few pounds, into a sock in her sock drawer.

The other interesting part was where a wealthy Scottish business man decided to help out a flailing cafe owner and his wife. They were foreign, Greek I think, and interestingly when they did the follow up segment of the program, when he returned to see how they were getting along, the business had still gone bust, in spite of the fact that they were helped out by the millionaire!

Can you see a pattern emerging here?

The two examples help to demonstrate the one basic fact of financial success: If you want to be financially sound you have to spend less than you have got. If you spend more than you have got you are doomed to financial failure.

My company creates CMS content management systems, provides SEO web design services and sets up e-commerce websites, all of which are flourishing businesses to be in these days as companies look to extend their business reach to national, and international markets. However, no matter how good a business you are in you still can’t spend more than you earn if you want to be financially secure.

Spend a penny less than you get and you will always feel abundant and this is something we have now achieved. This may seem very apparent, but how often do we find we are spending more than we can afford? There are tempting offers or investment opportunities within our grasp every day and it’s difficult to resist when they try to make us believe we might never get such an opportunity again.

The first thing you need to understand is that people who are providing things for us to buy are in business to make money and they want their businesses to grow. To do this they have to increase sales, so they have to make things irresistible to the customers like you and me.

So remember, the next time you are in the red and struggling to pay the bills, and you see something you want to buy, there is some big guy out there who is going to be raking in the profits as you slip further into debt. They are taking your hard earned cash and leaving you penniless so be strong and just say no to the things you don’t really need.

Change of Mindset

If your business is unlucky enough to be subject to a tax investigation audit then you will need to make sure that the professional fees you incur as a result are covered by a tax investigation insurance policy.

People who do not budget and find it difficult to manage their money seem to have a particular mindset. For instance, there may be an idea from childhood that being careful with money indicates to the world that a person is miserly. Being reckless then equates with generosity and not being largess. Give yourself permission to think that being in control of your money is a practical way to remove the stress you experience around finance. Being good with money is more often than not just about monitoring what is going on closely, so that you can respond to anything that happens that you were not expecting. By getting control over your finances will give you more energy to enjoy life more and as a result you will make more money too.
Guidelines to Liquidity

The most difficult thing to do is to face the truth. When someone is on a spending spree they are out of control and out of touch with reality. The fantasy ignores the hard fact of the cost and the very real consequences of overspending (ie. How it’s going to be repaid).

So the first thing you need to do is keep a record of everything you spend your money on. At the beginning, if you have not done this before, do not try to change what you normally do, just make a note of everything you spend as you go through the month. Have a cash note book and write down all the things you can think of that you buy. This includes household bills and food, mobile phone, TV. Put a figure in the corresponding column. If you have actual amounts put them in, if not make an estimate. Leave space for the things you don’t remember or even consider expenses. Beer, cinema, clothes even the coins you toss to street entertainers. Categorise it as fun money or entertainment funds.

Every time you take money out of your pocket/wallet/credit card/bank, write down what you use it for. Do this over twenty eight days, and by then you will have a fairly comprehensive list of your expenses. Make a total at the bottom of the page and on the opposite page write down all your income. When I first did this I found that one of my largest expenses was shop bought sandwiches every day!

Compare the totals. Have you spent more or less than you receive? Is your life going towards happy or miserable? It is at this point you really need to make a shift in your mindset if you want to gain control of your finances, and move yourself into the group of people who are well off.It really is that simple.

Start by being tight fisted to people who want to sell you things. Look around for the best deals and always ask to renegotiate deals. I went on a negotiating course some years ago and the following week I put into practise what we had learnt. I reduced my spending by £350, just by asking! Most of the time these days, people expect to be bartered or negotiated with and most prices are generally based on the fact that the advertised price is not the final selling price.

Carry only a minimum amount of cash on you so that you are not tempted to fritter away £20 on some impulse purchase you don’t need. Those notes add up fast and before you know it that hundred pounds that was in your pocket is gone.

Keep a list in the kitchen and only put things on it when you have run out. Use up products in the cool cupboard and freezer to reduce waste and keep spending to a minimum.There is nothing worse than buying something and then not using it and having to throw it away.

Become a prudent shopper and consumer. Try and use up coupons, saving a few saved pence per purchase can really add up. Searching through clearance sections in stores is another way to save money. You may be pleasantly surprised to see how much you can reduce your bill on your usual grocery haul. Not everything on the clearance shelf is always rubbish!

Conclusion

Budgeting is not for the fainthearted. It means fighting the urge to buy what is not needed. It means trying to always find ways to reduce costs and trim down the fat, could you get some of your service for free or at reduced costs by renegotiating with suppliers, for example.

I run my own business and if you are like me the temptation is strong to buy all the latest gadgets. But if you can think yourself into a new mind set you will find it much easier to change the habits of a lifetime. Be sure that all expenses are accounted for when you take stock of your situation. Once you have your finances under control, there will be enough surplus to save and allow to grow for the special events you may want to splash out on in life.

If you still have difficulty restricting your shopping habit, take a friend or relative with you on outings. Someone you can trust to steer you away from temptation. Once you conquer your shopping demons, you will be proud of yourself for doing so and feel a great sense of accomplishment. So don’t be overwhelmed, grab that pen and paper start doing your budgets and get on track to a debt free existence and a happy life.Once you have mastered the art it will serve you well for the rest of your life in both your personal and professional life.

Martial Arts Disciplines: Shinto Ryu

Most of today’s popular martial arts sprang up and developed, over several centuries, originating from the thoughts and practices of visionaries who were influenced by the pervading thought and cultures of their day. These influences molded and shaped their philosophies and techniques. Nowadays, newly created disciplines and styles are continually being developed throughout the world.

Shinto Ryu is one of these modern disciplines. It is practiced under the umbrella organization of the European Marital Arts Academy. Shinto means “natures way” or “shrine” and ryu like the Japanese word – do means “the way”. In understanding its name we gain insight into the foundation of the system – developing self defense skills in a “natural way.” The basic tenet of this discipline is to never seek harm. Instead, Shinto Ryu endeavors to equip students with skills that give them the ability to avoid, diffuse and or walk away from dangerous and difficult situations. Of paramount importance is teaching practitioners defusing techniques and the confidence to use and apply these skills effectively.

Acquiring the knowledge and physical skills to be able to act effectively in times of threat and great danger helps develop the confidence necessary to handle sticky situations. An important aspect of this is body language. Our body language tells a lot about us – in fact, research has shown that many victims of crimes actually had the body language and posture of a victim prior the to crime occurring. Thus, it is quite possible to minimize the risk of becoming a victim by having a confident posture and conveying this through body language. This is evident by examining different postures used by various styles of martial arts. Recalling your initial feelings you say to yourself “I knew I could not trust that person,” and you still allowed that situation to develop due to your failure to listen to your intuition. Shinto Ryu is a modern discipline. Practical techniques are taught based on a star movement, which allows you to defend yourself from any conceivable angle, whether standing or sitting down. Reality is the key to this system of self defense. Practitioners are taught how to respond to different real world situations, such as being threatened while traveling via public transportation, in their cars, at work, on the street and many other common scenarios.

As part of its self defense strategy, Shinto Ryu teaches you how to improvise with items you are likely to have at hand- for instance using a chair or small table as a barrier, and umbrella or broom handle as a weapon. The use of martial arts supplies is minimal in Shinto Ryu. Shinto Ryu practicioners train in a uniform that looks like the standard karate uniform commonly worn today. An Introduction to Working from Home

Ask anyone to choose their ideal job and home working would come high on their wish list. Whether home working is an option provided by your employer or a decision you have taken yourself in starting your own business, the thought of just getting out of bed, walk over to a workstation and just start work is very appealing. No commuting to and from the office and working hours to suit yourself.

But is home or flexible working right for you as an individual, or good for your business as an employer? Well there are many advantages and disadvantages. Home or flexible working brings new responsibilities for both the employer and employee. Equally with advances in mobile technology it has never been easier to set up your own business to work from home.

An Increasing Trend

From a business point of view, allowing staff to work at home on either a full or part-time basis can bring a range of business benefits, from increased productivity, greater staff motivation to effective use of your premises. Advancements in mobile technology has contributed enormously to the increase in opportunities for working at home.

The spread of home working using the internet or telephone opens up a new range of possibilities with regards to the way a business works and structures itself. Computers, mobile phones, broadband and mobile broadband all play a role. For the individual, becoming self employed and working from home has also never been easier. If you have a laptop and mobile phone the opportunity is there, it’s just deciding what you want to do. So home working is becoming a way of life for many individuals and businesses, but what is home working?

I know one web developer who often works well into the early hours of the morning as this is when he feels most productive.

Others such as a painter and decorator, plumber or gardener, whilst providing their services away from the home, use home as the office for paperwork such as pricing future jobs and preparing invoices. I know of several painters and decorators who work Monday to Thursday, but use Friday’s to go out and price up future potential work. That is one thing to bear in mind when setting up as self employed, you need to allow time to find or prospect for future work.

Some types of work are more suitable for home working than others, the following list is not exhaustive, but will give some guidance:

  • Telesales and Marketing
  • Customer Services
  • Professional services & consultancy i.e. HR Administration & Accountancy
  • Certain types of administration work
  • Data input
  • Creative/Graphics
  • Writing, editing, translation and research.
  • I.T. Support & Programming

Many of the above have a common theme and that is that as long as you have access to a computer and a phone, you can undertake almost all of these tasks from home.

The shift towards flexible working does not mean employees only work from home. Splitting time between the workplace and home is the most productive solution, as you want employees to attend meetings, therefore keeping them informed and involved. Continued face to face interaction within the business remains a key requirement.

With the introduction of home working regulations, employers now have to seriously consider employee requests to work flexibly from home, especially if they have parental responsibility for children under 16 years old, disabled children or they are carers for other adults with disabilities.

Employers and individuals also need to consider what equipment will be required to ensure that an efficient business operation and working environment is set up.

Desks, chairs and filing cabinets are just part of the office furniture selection available for the home working environment.

The Pros and Cons

So what are the advantages and disadvantages of an employer allowing employees to work from home or use their home as a base for at least part of the working week? It’s clear there are a number of benefits to the employer:

  • Staff Retention is increased
  • Wider pool of applicants to recruit from e.g. disabled people who prefer to work from home.
  • Productivity gains through having fewer interruptions and less commuting time.
  • Reduced stress and sickness increasing staff motivation.
  • Savings on office space and facilities.
  • Sales staff closer to clients, rather than being based at the office which could be miles away.
  • As with life if there are advantages then there are also disadvantages to home/flexible working:
  • Management of staff and monitoring performance
  • Possible deterioration of key skills and quality of work.
  • Capital costs – training and providing suitable equipment, this could include adaptations to meet Health & Safety standards or meet the needs of disabled workers.
  • Difficulties maintaining staff development and upgrading of skills.
  • Information security risks
  • Increased telecommunication and I.T. costs
  • Sense of isolation and communication problems amongst home workers.
  • Staff morale and difficulties in maintaining team spirit.
  • Home working may not be suitable for certain types of jobs.

One thing I particularly miss is the Monday morning office banter about what you did at the weekend of how your football team has fared compared to others. Often the camaraderie that is unique to an office where you get to know people well over many years is also lost where flexible working becomes an option.

Are You Suited o Home Working?

Having identified the types of work that is suitable for home working, the employer must satisfy themselves that employees are suited to this type of work. It’s likely they will need a number of skills in key areas to allow them to work away from base.

  • Time management and self discipline
  • Motivation
  • Communication
  • Technology

We must make it clear that home working is not suitable for everyone and care should be taken, because allowing one person to work from home will set a precedent that others will want to follow. Others will see an attraction to working at home particularly on a lovely summer’s day, rather than being stuck in an office. I must confess that as I write this article, I am sitting in our summer house at the bottom of the garden with the laptop on a glorious summer’s day in June.

An employer you must have a clear idea of how home/flexible working could fit in with the needs of the business. A set of house rules need to be established and maintained, i.e. priority is given to requests from parents of young or disabled children. My wife for example, plans her day around the hours of taking the children to school and collecting them later. She maintains that she is extremely focused on what she needs to achieve within those six hours in between. No distractions or idle chit-chat that will occur in an office environment.

In some cases the employer is legally obliged to seriously consider requests for home/flexible workers. Employee with parental responsibility for children aged 16 or under, or disabled children who are under 18 and receive disability living allowances can request a range of flexible working patterns from their employers, this includes the right to work from home. There are similar rights for employees who are carers of adults.

The introduction of flexible working can also lead to an overhaul to employment contract terms and conditions. In a majority of cases an employee’s place of work is listed in the written schedules of their employment contract. It’s important that when an employee starts to work from home it may be necessary to review and amend their employment contract.

The following is a list of contractual aspects an employer should consider when implementing a home/flexible work policy:

  • Stated hours of work
  • Identify core times when employees undertake to work and/or are contactable.
  • Extra duties or responsibilities that may need to be assigned in addition to those already agreed
  • Identify the terms regarding the supply and insurance of any equipment that may be required, these should clearly state ownership and use, especially that its not to be used for personal use.
  • Clearly identify what the employer will reimburse to cover additional expenses the employee may incur, its especially important to identify the calculation method when costs are shared i.e. utility bills and telecommunications
  • Procedures to be put in place if either the employee or employer wishes to terminate the home/flexible working arrangement.

Allowing flexible working the employer should remember that they still have health and safety responsibilities for people who work at or from home; and you are likely to have to provide and maintain equipment for employees to use, these include:

  • Workstation complete with suitable task chair
  • Filing cabinet, shelves or storage
